Activ Handbook allows you to store all your company policies, procedures, forms and any other company documents. You can easily distribute these to all your staff, requesting that they acknowledge that they have read and understood each of the documents appropriate to them.
In order to create your library of company policies and procedure documents, you'll need to first navigate to Administration > Handbook > Configure Handbook:
Next, select the (+) symbol in the top right of the screen to begin the creation process of your new Handbook policy:
Policy Document
On the following screen, you will be presented with a form of meta data to define the policy or document details as shown below.
Enter the following details:
- Policy Name
- Policy Reference
- Policy Type
- Categories
- Version
Note: the document types and categories can be configured under Handbook > System Configuration in the Administration section.
- Status
- Owner
- Library
- Documents or Templates
- Access Central
- Internal Only or Public
- Sort Order
- Policy Overview
Next, attach the document to be published. It is normal to attach a PDF rather than the source document so that the employees cannot make changes. PDF documents can also be viewed with the browser without having to load Microsoft Word.
You can attach multiple PDF documents to the same Meta data record. Once you have attached the document click Save to upload the document to the server. Once the document has been uploaded to the server you can then click the Save button in the top left to save the policy as a draft.
You will then be redirected to the Configure Handbook view where you can review your new policy from the list.
Publishing Company Policies
Once you have created your draft policy, select the policy to review the details and ensure that you are happy with the information contained on the form.
Should you need to make any further amendments before publishing the document to the handbook, select Edit at the top of the screen:
If there are no further changes required, select the Publish Document button to make the document available for your employees to read in your Handbook library.
